It is also important to listen to the problems faced by the renovation contractor and resolve them jointly. Put into writing what had been discussed during the site meeting. You can appoint the renovation contractor’s site supervisor to record the site meeting minutes and circulate to all concerned parties’ information. The site meeting is a useful took to track events during the renovation and when disputes arises.
Whenever there are any changes on site during renovation, make it a pont to record them down, irregardless of whether the employer, interior designer or the renovation contractor initiates the changes.
Employer and / or Interior Designer’ Duties
During the renovation, the Employer’s duties include the approval of samples, shop drawings and confirm other interior design decisions for the renovation contractor to carry on with the renovation works. The Employer should make those interior design decisions on time too.
When the renovation contractor submits progressive claims, it is prudent for the Employer to verify progressive claims on site. The Employer should release payments according to completed renovation works or against agreed Schedule of Payment. It is important not to withhold payments to the renovation contractor without valid reasons. It can create cash flow to the renovation contractor, which would result in a chain of other problems, including cash flow and the destroying of trust between the two parties.
It is important not to expect renovation workmanship to be in factory-like precision. Like all construction works, there would be minor renovation imperfections, provided these can be rectified quite easily.
Renovation defects are inevitable. You should only reject the works only if they are not in accordance with the interior design scheme or if the defects are major. If in doubt as to what these renovation defects are, consult your Interior Designer (if you have appointed one) or a renovation auditor.
Renovation Contractor’s Duties
The renovation contractor’s main work involves arranging for renovation workers and co-ordinate the renovation works. It also involves the purchasing the renovation materials and install them on the renovation site.
It is the renovation contractor’s duty to prepare a work schedule indicating the various stages of renovation works including the completion date. Place a copy of the Schedule on the renovation site for all to refer to.
A diligent renovation contractor should allow sufficient time for the Employer to select and approve renovation finishes, color scheme and samples.
You should also expect the renovation contractor to keep copies of renovation contract drawings, samples and Scope of Works on the renovation site for the convenience of all renovation parties.
What to do on the Day of Completion
Needless to say, the contract completion date is a very important day for you. This is the day where the renovation contractor is supposed to have completed the renovation works and hand the beautiful home to you.
During this day, you should conduct a joint inspection together with the Renovation Contractor. The interior designer (if you have appointed one) should be present. All parties should verify that the renovation works are completed according to the interior design scheme, your approved samples, colors and specifications and generally in accordance with the renovation contract.
Check for renovation defects and record them in writing.
Agree on a reasonable deadline (usually 7 to 14 days) for the renovation contractor to complete the rectifications of defects. Release the final payment to the renovation contractor only when you are satisfied that the defects are completed.
